Orders arrive by email. They should not need a human to retype them.

Email-to-fulfilment automation for custom-order shops — order capture, job sheets, stock checks and customer confirmations, built on the tools you already use. Nothing sends without a human reading it.

Five to twenty minutes an order. Forty to two hundred orders a month.

Somebody opens each enquiry, retypes the details into a job sheet or spreadsheet, checks whether the stock is there, raises a supplier order if it's short, and writes back with a confirmation and a timeline. That's ten to sixty hours a month spent transcribing information that arrived in writing in the first place.

It's also where the errors live. A misread inscription, a wrong quantity, a due date typed a week out — every one of those is a remake, and the remake costs more than the admin did.

Already proven. Not a concept.

This is the work already delivered once, at Aim Trophies & Awards — a trophy and engraving business. Claude Cowork set up for the business, scheduled tasks pulling orders straight out of email, sales jobs prepared, stock ordered, customer confirmations written and queued. A real trade business, running real orders through it — not a demo.

If your business takes custom orders by email, this is the same build, scoped to your job sheets, your stock list, your supplier list, and your voice.

Who this is for

The right fit

  • 2–15 person custom-order businesses: engraving, signage, print, embroidery, uniforms, framing, joinery, promotional products, awards.
  • Already paying a part-time admin roughly A$25–35/hr to do this by hand, or the owner doing it after close.
  • Orders arrive as text — email, a web form, or an attached order sheet.

Not the right fit

  • Orders that arrive by phone only — a different build, quoted separately.
  • Solo creative service businesses (photographers, designers, celebrants) — see The Content Engine, Done For You instead.
  • Businesses wanting payment/invoicing integration or a CRM rebuild as part of this scope.

Questions worth asking first

Will it work on my orders?

Week One runs the build against real orders from your last month, checked against what you actually did. Nothing moves to the parallel-run week until that passes.

What about the weird ones — the rush job, the handwritten note?

Your top five exceptions get written into scope at Week Zero. Everything else is written down as excluded, so nothing quietly becomes an open-ended build.

What happens when it breaks?

Thirty days of email support, starting at handover — deliberately built to cover week three, which is usually when something unexpected shows up.

Do I keep paying?

No retainer, no licence. You own the files at handover and can run and change the system without calling Kelly again.
